New Feature: Safeguard Configuration Options

Introducing the Safeguard a two key functionalities new feature: Proposal Locking and Version Lock for admins.

Proposal Locking: This feature ensures only one user can edit a proposal at a time while others are in read-only mode. This prevents conflicts and maintains integrity. The system also indicates which users are currently viewing the proposal.

Version Safeguard for Admin: This feature locks configurable pages, ensuring that only one admin can edit at a time to prevent conflicts and overrides. This enhances collaboration and protects data integrity.

The system will check if a page is being edited and will activate a read-only mode for other users.

To enable this feature, go to 'System Settings' > 'Safeguard Configuration' section.

External Validation for Proposals in CPQ

Admins can now configure External Validation rules alongside existing internal checks.
How it works:

  1. Set up an External Query entity of type API: Specify the URL of the external service and define the parameters the CPQ should send to this external system.
  2. Create an external validation rule in the Submit Validation screen.

All validations (both internal and external) are executed upon proposal submission, ensuring all necessary checks are completed before proposal is sent for approval or ready to be shared with a buyer.

If validation fails, the external system sends a failure response. In such cases, admins have the flexibility to:

  • Define a custom message that should be shown to the seller.
  • Display the exact error message returned by the external system.
  • Combine both approaches by embedding the external system’s response into a custom message for greater clarity.

HubSpot - Synchronizing Data to CRM

Need more proposal-related information in your HubSpot CRM?

As of now, administrators can set a configuration to synchronize proposal workflows and/or proposal playbook data (questions and answers) with their CRM. Synchronization enablement is done on the HubSpot Settings screen.

Feature: Version Settings -> Advanced Settings -> HubSpot Settings.

Additionally, once synchronized, this information could be seen via HubSpot CRM cards.

Note: This functionality can be utilized by accounts with a HubSpot Enterprise license. If the HubSpot CRM license differs from Enterprise or if your organization reaches the maximum limit of custom objects in HubSpot, the CPQ version activation will fail.

HubSpot - synchronizing line item factors to CRM

Out-of-the-Box, when CPQ synchronizes proposal information into CRM Deal, it synchronizes the multiplier of all factors defined on the product line item, so that the total net of the line item will be presented/calculated correctly. From now on, an admin can also add an explicit mapping of each factor to the custom field on the CRM side.

Feature: Version Settings -> Products -> Settings -> Product Factors
